This is Yudan Nashi Kan Aikido Club’s Privacy Statement and outlines, in broad terms, the type of personal data we collect, who we share it with and why.

General Principles

We respect your privacy and limit the amount of personal data we collect and process. Where we need to share data, we will let you know what data we share and why.

To facilitate club business, the data we use is split into two broad categories: members details and website user details. The sections below describe how we use this data, who we share it with and under what circumstance.

Members Details

Our membership forms require members to provide a range of information about themselves, including: name, rank, birthday, address, email address, emergency contacts and medical conditions. This is stored in a cloud database with restricted to designated club officials. This data is shared with KAA and JAC for administrative purposes (e.g. to arrange insurance and gradings). Where necessary we will also share some of this information with emergency services. Data for inactive members is deleted after two years.

Whilst we do not sell or share data about our members, we may from time-to-time use the specialist services that require use some of the details we hold on record (e.g. for sending emails). Where this is the case, we restrict what data we share to the absolute minimum.

Website User Details

Our website uses a range of cookies, some provided by third parties, that assist with core functionality and help us measure its performance. Check out www.aboutcookies.org‘s advice on controlling and deleting cookies on your devices.

If you register to use YNK’s website you will be asked to provide your name and email address. We’ll use your name to link you to our membership records and your email address to manage access to the website (including sending your details or how to login or re-set your password).

We may occasionally embed content from other sites (e.g. videos, images, articles, etc.). Where this is the case, embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

How long we retain your data

We will retain membership data for two years after the anniversary your membership expired. Details used to access our website will be deleted on the second anniversary of the last time you logged in.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
